Position Overview

As a Judicial Assistant, you will provide direct administrative, legal, and organizational support to a District Court Judge in the 4th Judicial District in Missoula, Montana.

This role is central to ensuring the court runs smoothly, cases are managed efficiently, and the public receives timely and fair access to justice. You will work closely with attorneys, jurors, staff, and members of the public while maintaining the highest level of professionalism, confidentiality, and integrity.

Key Responsibilities

  • Document Preparation & Review
  • Draft, edit, and proofread legal documents, correspondence, and proposed orders.
  • Manage confidential communications and ensure accuracy of pleadings and filings.
  • Scheduling & Coordination
  • Maintain the judge's calendar, schedule hearings, and organize case files.
  • Coordinate meetings, conferences, and travel arrangements.
  • Track case status, reminders, and deadlines to ensure efficient case flow.
  • Courtroom & Public Interaction
  • Serve as a professional and confidential assistant to the judge.
  • Communicate with attorneys, jurors, law enforcement, and the public as authorized.
  • Support hearings, including setup and coordination of Zoom proceedings.
  • Office Administration
  • Organize incoming paperwork and maintain filing systems.
  • Order supplies, maintain the judge's law library, and manage office operations.
  • Answer calls and greet visitors with professionalism and courtesy.

Knowledge, Skills, and Abilities

  • Knowledge of legal terminology, court procedures, and office practices.
  • Strong writing, editing, and proofreading skills.
  • Ability to manage confidential information with discretion.
  • Skilled in organizing, prioritizing, and meeting deadlines.
  • Proficient in Microsoft Office and comfortable learning new technologies (including Zoom).
  • Professional communication and customer service skills, even under pressure.
  • Ability to remain calm and respectful in challenging situations.

Working Conditions

Primarily office-based work requiring extended periods of sitting, with occasional standing, bending, or lifting of light to medium objects.

Standard office safety precautions apply.

A valid Montana driver's license may be required for some positions; proof of insurance is required if using a personal vehicle for state business.

Qualifications

  • Education/Experience: Associate degree in business, clerical studies, or related field; OR equivalent experience in a legal setting.
  • Experience: At least two (2) years of progressively responsible legal or high-level administrative support experience.
  • Preferred: Experience as a high-level assistant in a court or legal environment.
