We are seeking a Legal Administrative Assistant to provide specialized and complex administrative support to a team of Bankruptcy attorneys in Bethesda, MD. This role requires strong organizational skills, excellent judgment, and demonstrated experience supporting busy attorneys in a fast-paced legal environment.

Responsibilities:

  • Manage complex attorney calendars, including coordinating meetings, court appearances, deadlines, and client commitments.
  • Draft, prepare, and proofread a wide range of legal documents under attorney supervision, ensuring accuracy and adherence to legal standards.
  • Handle electronic filing (e-filing) of legal documents with courts in Washington, D.C. and Maryland; Virginia e-filing experience is a plus.
  • Oversee the new client/matter intake process, ensuring timely submission and proper filing of all required documentation.
  • Maintain and organize both paper and electronic case files, including pleadings, discovery, and trial binders.
  • Work extensively with client and document management systems, including InTapp and NetDocs, to manage files, track cases, and support attorneys.
  • Prepare, process, and send legal documents through various methods of mailing and service, ensuring compliance with court and agency requirements.
  • Serve as a key point of contact for clients, managing professional communications by phone, email, and in person.
  • Process financial documentation, including expense reports, credit card reconciliations, and reimbursement requests.
  • Assist attorneys in case management, including coordinating deadlines and supporting trial preparation.
  • Provide occasional backup support to reception as needed, ensuring a professional firm presence.
  • Maintain strict confidentiality of all client and case information in line with ethical standards and firm policies.
  • Stay current on local court procedures and filing requirements.
  • Perform additional administrative tasks as required to support the firm’s operations and attorneys.

Qualifications:

  • Proven e-filing experience in Washington, D.C. and Maryland; familiarity with Virginia courts is strongly preferred.
  • Strong background in calendar management for busy attorneys handling multiple deadlines.
  • Demonstrated experience using InTapp and NetDocs (or similar client/document management systems).
  • Knowledge of mailing processes and service of legal documents.
  • Proactive work style with excellent organizational and problem-solving skills.
  • Ability to prioritize tasks, meet deadlines, and anticipate attorney/client needs.
  • Strong written and verbal communication skills with proficiency in grammar and spelling.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Internet research skills.
  • Exceptional client service skills with a track record of building strong professional relationships.
  • Bachelor’s degree or equivalent experience.
  • 3+ years of legal administrative support experience in a law firm or professional services environment.
