Job Description

Word Processor

Location: Naples, Florida – On-site, Monday through Friday

Position Summary:

The Word Processor will support the legal team with a range of tasks that may evolve based on guidance from Attorneys or the Office Administrator. This role is essential for ensuring the accuracy, organization, and timely completion of legal documents and administrative tasks.

Primary Responsibilities:

  • Serve as backup support for the Legal Secretary team as needed.
  • Assemble and organize client binders containing completed trust and estate documentation.
  • Prepare, format, and finalize legal documents in accordance with office standards.
  • Assist in drafting, editing, and reviewing wills, trusts, and other legal correspondence.
  • Manage email attachments in an organized and accessible manner for legal staff.
  • Perform document scanning and formatting tasks.
  • Handle photocopying, mailing, and delivery of correspondence, including certified mail and shipping through UPS or FedEx.
  • Maintain desk files and client documents with accurate filing and timely updates.
  • Attend client signings and act as a witness when required.
  • Provide backup coverage for Receptionist duties during absences.

Required Qualifications:

  • High school diploma or equivalent (GED) required; business administration degree preferred.
  • Minimum of two (2) years’ experience in a Word Processor or similar administrative role.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Visio) and Adobe software.
  • Strong attention to detail and exceptional organizational skills.
  • Excellent written and verbal communication abilities.
  • Capable of managing multiple tasks and prioritizing efficiently.
  • Willingness to work overtime when requested by attorneys.
  • Collaborative and team-oriented mindset.
